About the handling of personal information

Basic Policy for Protecting Personal Information

Takasago Thermal Engineering Co., Ltd. (hereinafter referred to as the "Company") recognizes that it is the Company's social responsibility to protect personal information. As such, the Company has established the Basic Policy for Protecting Personal Information. Each employee of the Company shall endeavor to ensure that personal information is properly protected.

  1. The Company will comply with laws and regulations regarding the protection of personal information when handling personal information.
  2. The Company will acquire personal information in a fair and appropriate manner. In addition, the Company will never use personal information in a manner that may encourage or induce illegal or unjust acts.
  3. The Company will acquire personal information by notifying and/or disclosing the purpose of using such personal information. The Company will use such personal information within the scope of the said purpose.
  4. The Company will not supply any personal data to third parties without your prior consent, except when permitted by laws and regulations.
  5. The Company will take necessary and appropriate security measures to prevent the leakage, loss or damage of personal information.
  6. The Company will respond within a reasonable period and scope when you request to disclose, amend, delete, or suspend the use of retained personal data.

Purpose of use of personal information

The Company will use the acquired personal information for the following purposes, unless otherwise notified or publicly announced:

  1. Sales activities to customers (including prospective customers), provision of various types of information to customers, conclusion and execution of contracts with customers, provision of various after-sales services, and other related and incidental business operations.
  2. Conclusion and execution of contracts with business partners including subcontractors and suppliers and other related or incidental business operations.

Shared use of personal information

In some cases, the Company will share personal information acquired with a specific joint venture or related companies within the Group (hereinafter referred to as "Group Companies").   3. Shared use of personal information at the Company's construction sites
    The Company will share personal information contained in the safety documents created at its construction sites as follows:
    1. Users that share personal information:
      The Company and its subcontractors that are responsible for construction at the Company's construction sites
    2. Purpose of shared use:
      • (i) Creation and management of construction system ledgers, worker lists, etc.
      • (ii) Communication and sharing of information in relation to construction work
      • (iii) Managing site safety
    3. Details of personal information shared:
      • Contact information such as name, address, telephone number, email address, acquired qualifications, years of experience of certain operations, and information on health such as blood type/blood pressure
      • Contact information such as company name, company address, affiliated department, telephone number, email address
      • Information on labor safety and health management such as date of medical examination and social insurance enrollment status

Security Control Action

The Company will take the following action to ensure the security of its retained personal data.

  1. Institutional security control action
    The Company will appoint of person responsible for the management of personal data and establish a reporting and communication system to the person responsible of any facts or signs of violations of the law or the company regulations.
  2. Human security control action
    The Company will clarify provisions concerning confidentiality of personal data in internal regulations.
  3. Physical security control action
    The Company will implement measures to prevent unauthorized persons from viewing personal data.
  4. Technical security control action
    The Company will implement measures to protect information systems that handle personal data from unauthorized access from outside or unauthorized software.
  5. Understanding of the external environment
    The Company will implement appropriate security control action when using cloud services provided by a third party located in a foreign country.
  6. Supervision over employees
    The Company will supervise employees who handle personal data as necessary.
  7. Supervision over trustees
    The Company will exercise necessary supervision over the relevant trustee, when the Company entrusts the handling personal data.

Proper handling of Specific Personal Information

The Company shall collect, and properly handle, personal information including Individual Numbers (i.e. My Number) and/or other alternative numbers or symbols (hereinafter referred to as "Specific Personal Information"). The following is the Company's policy on the proper handling of Specific Personal Information.

  1. Compliance with laws and regulations
    The Company will comply with the "Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure", the "Act on the Protection of Personal Information", and "Guidelines on proper handling of Specific Personal Information (for private entities)".
  2. Security Control Action
    The Company will take necessary and appropriate security measures to prevent the leakage, loss or damage of Specific Personal Information.
